But now you want to hide detailed appointments and allow others to view only free and busy information, how could you deal with it? Remember to back up your contacts, calendars, and reminders, so you don't lose anything.

Important: Upgraded reminders aren't compatible with earlier versions of iOS or macOS. Shared reminders are also not accessible to users with earlier versions of iOS and macOS, until they upgrade.

After each step, see if you still need help:

  1. Check for updates to your iPhone, iPad, iPod touch, Mac, or PC. To use iCloud, your devices need to meet the system requirements.
  2. See if the date and time settings on your iPhone, iPad, iPod touch, Mac, or PC are correct.
  3. Make sure that you're signed in to iCloud with the same Apple ID on all your devices and check your settings.
    • On your iPhone, tap Settings > [your name] > iCloud. Check your Apple ID and make sure that you turn on what you want to update (Contacts, Calendars, or Reminders).
    • On your Mac, choose Apple menu  > System Preferences, click Apple ID, then click iCloud. If you’re using macOS Mojave or earlier, choose Apple menu > System Preferences, then click iCloud. Check your Apple ID and make sure that you select what you want to update (Contacts, Calendars, or Reminders).
    • On your PC, open iCloud for Windows. Check your Apple ID and make sure that you select what you want to update (Mail, Contacts, Calendars, and Tasks).
  4. If you sign in to third-party apps with your Apple ID, protect your account with two-factor authentication and use an app-specific password. If you don’t have devices that can be updated to iOS 9 or OS X El Capitan or later, you can set up two-step verification instead.
  5. Open Safari and go to www.apple.com to check your connection. If you can’t open the page, get help connecting to the Internet.
  6. Open a secure website, like your Apple ID account page, to see if you can access port 443. If the website won't open, contact your Internet service provider for help. Safari needs access to port 443 to update your information in iCloud.
  7. Keep your data within the limits. If you go over the limit, your data won't stay up to date.

Refresh your contacts and calendars

To refresh your contacts, open Contacts and swipe down on the list.

To refresh your contact groups:

  1. Open the Contacts app.
  2. Tap Groups in the upper-left corner.
  3. Swipe down on the list to refresh your groups.

To refresh your calendars:

  1. Open the Calendar app.
  2. Tap the Calendars tab.
  3. Swipe down on the list to refresh your events.

Set iCloud Contacts, Calendars, or Reminders as your default

If your contacts, calendars, and reminders are in iCloud, then iCloud automatically updates your information. See if your information is in iCloud or a third-party account, like Google or Yahoo. Then change your default account to iCloud. Changing your default account to iCloud will not move your existing information from a third-party service to iCloud.

To see which account your contacts are in:

  1. Open the Contacts app and tap Groups in the upper-left corner.
  2. Deselect the All [account] option for any third-party account, like Gmail or Yahoo.
  3. Make sure All iCloud is selected.
  4. Tap Done to see your list of contacts. If you don't see the contact you're looking for, it's stored in another account.
  5. If you have a copy of your contacts from a third-party service in vCard format version 3.0 or later, you can import the contacts into iCloud.

Set iCloud as the default account for your contacts in iOS 8 or later:

  1. Tap Settings, then Contacts.
  2. Tap Default Account.
  3. Select iCloud.

To see which account your calendars are in, open the Calendar app, then tap the Calendars tab.

Set an iCloud calendar as the default calendar:

  1. Tap Settings, then Calendar.
  2. Tap Default Calendar.
  3. Tap a calendar under iCloud to make it your default.

Set an iCloud reminders list as the default list:

  1. Tap Settings, then Reminders.
  2. Tap Default List.
  3. Tap a list under iCloud to make it your default.

Check your app settings

Make sure your iCloud Contacts and Calendars are set to appear in the Contacts or Calendars app:

  • Open the Contacts app and tap Groups in the upper-left corner. Make sure that All iCloud is selected.
  • Open the Calendar app and tap the Calendars tab. Make sure that all iCloud calendars are selected.

Make sure your Reminders appear:

  1. Tap Settings, then [your name].
  2. Tap iCloud.
  3. Slide to turn on Reminders.

Change how often your calendars update:

  1. Tap Settings, then Calendar.
  2. Tap Sync.
  3. If All Events is selected, choose a specific timeframe instead, like Events 1 Month Back. If a specific timeframe is selected, choose All Events instead.
  4. Return to your Home screen.
  5. Wait a few minutes, then open the Calendar app. Tap the Calendars tab, and swipe down to refresh.

Since the iCloud Birthdays calendar updates daily, you might not see changes to birthdays in the Calendars app until the next day.

Restart the Contacts, Calendar, or Reminders app

  1. Close the app.
  2. Return to your Home screen.
  3. Wait a minute, then open the app again.

When you create a reminder, you can choose to store it in iCloud or on your iOS device.

To force sync Calendar data on your Apple Watch:

  1. Open the Watch app on your iPhone and tap the My Watch tab.
  2. Tap General, then tap Reset.
  3. Tap Reset Sync Data.

Since the iCloud Birthdays calendar updates hourly, you might not see changes to birthdays in the Contacts or Calendars app for an hour.

Check your default Calendar, Reminders, and Contacts account

If you store and edit your events in iCloud instead of another place, like On My Mac, Exchange, or Google, then iCloud automatically updates your calendars. If you use multiple accounts on your Mac like iCloud, Gmail, and Yahoo, make sure that iCloud is your default Calendar account:

  1. Open the Calendar app.
  2. Choose Calendar > Preferences.
  3. On the General tab, make sure that one of your iCloud calendars is the default.

After you set up iCloud Reminders, you might need to quit and reopen Reminders on your Mac. Then make sure that you set up your account correctly in Reminders:

  1. Open the Reminders app.
  2. Choose Reminders > Accounts.
  3. Click the iCloud tab and make sure that you're signed in with your Apple ID.

  7. Open Calendar and Reminders.

Restart your computer

After you restart your computer, see if you fixed the issue.

If you don't see all your updates or have another issue, try these steps on iCloud.com:

  1. Update your browser and clear the cache.
  2. If you don't see updates from other devices, open another app on iCloud.com, like Mail. Then go back to the Contacts, Calendar, or Reminders app.
  3. Sign out of iCloud.com, then sign back in.
  4. Clear your browsing history. Choose History > Clear History.

Since the iCloud Birthdays calendar updates daily, you might not see changes to birthdays in the Calendars app until the next day.

If you get a spam iCloud Calendar request

If you get a calendar request that you think might be spam or junk, let us know. Sign in to iCloud.com with your Apple ID and go to the Calendar app. Open the event that you wish to mark as Junk, click Report Junk, then click OK. We'll automatically delete the event from your Calendar on all your devices signed in with the same Apple ID.

You can also go to the invitation from your iPhone, iPad, iPod touch, or Mac and choose Report Junk > Delete and Report Junk.

Microsoft Windows

After each step, check your contacts, calendars, or reminders.

Reminders are called Tasks in iCloud for Windows.

Refresh Outlook

Turn off iCloud Contacts, Calendar, and Tasks, then turn it back on

  1. Open iCloud for Windows.
  2. Deselect Mail, Contacts, Calendars and Tasks, then click Apply.
  3. Wait a few seconds, select Mail, Contacts, Calendars & Tasks, then click Apply.
  4. Open Outlook.

Make sure the iCloud Outlook Add-in is active

In Outlook 2010 and later:

  1. Click the File menu.
  2. Click Options in the left panel.
  3. Click Add-Ins in the left panel of the Outlook Options window.
  4. Look at the list of add-ins in the Active Application Add-Ins section.
  5. Select the iCloud Outlook Add-in.

In Outlook 2007:

  1. From the Tools menu, select Trust Center.
  2. Select Add-ins from the left column.
  3. In the list of add-ins in the Active Application Add-Ins section, select the iCloud Outlook Add-in.

Check your default account in Outlook

  • In Outlook 2010 and later, select File > Info > Account Settings > Data Files. If iCloud is the default account in the Comments column, select a different account, and click Set as Default.
  • In Outlook 2007, select File > Data File Management > Data Files. If iCloud is the default account in the Comments column, select a different account, and click Set as Default.

It's easy to create shared mailboxes so a group of people can monitor and send email from a common email addresses, like info@contoso.com. When a person in the group replies to a message sent to the shared mailbox, the email appears to be from the shared mailbox, not from the individual user.

Shared mailboxes include a shared calendar. A lot of small businesses like to use the shared calendar as a place for everyone to enter their appointments. For example, if you have 3 people who do customer visits, all can use the shared calendar to enter the appointments. This is an easy way to keep everyone informed where people are.

Before creating a shared mailbox, be sure to read About shared mailboxes for more information.

Create a shared mailbox and add members

  1. Sign in with an Office 365 global admin account or Exchange admin account. If you get the message 'You don't have permission to access this page or perform this action,' then you aren't an admin.
  1. In the admin center, go to the Groups > Shared mailboxes page.

  1. On the Shared mailboxes page, select + Add a mailbox. Enter a name for the shared mailbox. Then the wizard chooses the email address, but you can edit it.

  2. Select Add. It may take a few minutes before you can add members.

  3. Under Next steps, select Add members to this mailbox. Members are the people who will be able to view the incoming mail to this shared mailbox, and the outgoing replies.

  4. Select the +Add members button. Put a check mark next to the people who you want to use this shared mailbox, and select Save.

  5. Select Close.

You have a shared mailbox and it includes a shared calendar. Now go on to the next step: block sign-in for the shared mailbox account.

Every shared mailbox has a corresponding user account. Notice how you weren't asked to provide a password when you created the shared mailbox? The account has a password, but it's system-generated (unknown). You aren't supposed to use the account to log in to the shared mailbox.

But what if an admin simply resets the password of the shared mailbox user account? Or what if an attacker gains access to the shared mailbox account credentials? This would allow the user account to log in to the shared mailbox and send email. To prevent this, you need to block sign-in for the account that's associated with the shared mailbox.

Note

If you're not using the new Microsoft 365 admin center, you can turn it on by selecting the Try the new admin center toggle located at the top of the Home page.

  1. In the admin center, go to the Users > Active users page.

  2. In the list of user accounts, find the account for the shared mailbox (for example, change the filter to Unlicensed users).

  3. Select the user to open their properties pane, and then select the Block this user icon .

    Note: If the account is already blocked, Sign in blocked will appear at the top and the icon will read Unblock this user.

  4. In the Block this user? pane, select Block the user from signing in, and then select Save changes.

  1. In the admin center, go to the Users > Active users page.

  2. In the list of user accounts, find the account for the shared mailbox (for example, change the view to Unlicensed users) and then select the account.

  3. In the properties flyout, select Block sign-in.

    Note: If the account was already blocked, the button would say Unblock sign-in.

Add the shared mailbox to Outlook

If you have automapping enabled in your business (by default, most people do), the shared mailbox will appear in your user's Outlook app automatically after they close and restart Outlook.

Automapping is set on the user's mailbox, not the shared mailbox. This means if you try to use a security group to manage who has access to the shared mailbox, automapping won't work. So, if you want automapping, you have to assign permissions explicitly. Automapping is on by default. To learn how to turn it off, see Remove automapping for a shared mailbox.

Use a shared mailbox on a mobile device (phone or tablet)

You can access a shared mailbox on a mobile device in two ways:

  • Add the shared mailbox in the Outlook for iOS app or the Outlook for Android mobile app.

  • Open your browser, sign in to Office 365, and then go to Outlook on the web. From Outlook on the web you'll be able to access the shared mailbox.

Use the shared calendar

When you created the shared mailbox, you automatically created a shared calendar. We like the shared mailbox calendar rather than a SharePoint calendar for keeping track of appointments and where people are. A shared calendar is integrated with Outlook and it's much easier to use than a SharePoint calendar.

Advent Calendar

  1. In the Outlook app, go to calendar view, and select the shared mailbox.

  2. When you enter appointments, everyone who is a member of the shared mailbox will be able to see them.

  3. Any member of the shared mailbox can create, view, and manage appointments on the calendar, just like they would their personal appointments. Everyone who is a member of shared mailbox can see their changes to the shared calendar.
